MLDeep Systems is operated by Anmol Parimoo ("we", "us", "our"). This policy covers website visitors and client business data handled during engagements. It explains what data is collected, why it is collected, and how it is handled.

What data is collected and why

Client business data used in engagements
For an assisted consulting engagement, client business data may include agreed exports covering orders, products, costs, advertising, shipping, and returns. MLDeep uses this data to perform the analysis, reconciliation, or other deliverables agreed with the client. There are no automated Shopify, ad, or courier integrations today.
Clients transfer source data through a client-specific restricted Google Workspace folder. Access is limited through named-account access and multi-factor authentication (MFA), and local work is limited to the FileVault-protected MLDeep-controlled device. Data minimization applies: only data needed for the agreed work should be provided and retained. Client source data is not sent as email or Slack attachments.
Google Workspace is the current provider for engagement files where applicable. Google Cloud hosts the public website. Google Analytics and PostHog handle website usage analytics, Cal.com handles visitor-facing booking (receiving the booking form data and syncing confirmed appointments to the owner's Google Calendar), and Formspree handles public website contact forms. Client engagement datasets are not intentionally sent to Cal.com, Formspree, Google Analytics, or PostHog.
Client source data is deleted from active Workspace storage, local working copies, and Trash within 30 days after the engagement ends, or earlier when no longer needed, subject to legal or contractual retention. Deletion from active storage and Trash does not promise immediate erasure from provider-managed backups. Backup copies follow the provider lifecycle and are not used as active working data.
Where engagement exports include personal data, MLDeep processes it as a service provider or processor on the client's documented instructions and under the applicable agreement. The client is responsible for its authority and lawful transfer of that data. MLDeep assists with requests, return, or deletion as required by the applicable agreement or law. The applicable roles and obligations depend on the engagement and jurisdiction; this summary is not legal advice or an unreviewed data-processing agreement.

Analytics and cookies
This site uses Google Analytics (GA4) and PostHog for analytics. Both tools use cookies and similar tracking technologies to collect behavioural data. Analytics are only loaded after you accept cookies via the consent banner.
If you decline, no analytics cookies are set and no tracking scripts are loaded. You can change your preference at any time by clearing your browser's local storage for this site.

Personal data is not sold or rented. It is shared with the providers above only for the stated purposes or where otherwise required by law.
Legal basis for processing (GDPR)
For website visitors in the European Economic Area or United Kingdom, the following legal bases apply to the listed website activities. GDPR requirements may also apply to personal data in client engagement exports; the applicable responsibilities depend on the client's instructions, the agreement, and the parties' roles.
- Analytics: Consent (Article 6(1)(a)). You may withdraw consent at any time.
- Contact form submissions: Legitimate interest in responding to business enquiries (Article 6(1)(f)).
- Booking data: Necessary for the performance of a contract or pre-contractual steps (Article 6(1)(b)).
India -- Digital Personal Data Protection Act 2023
For website visitors in India, the following applies under the DPDP Act 2023. DPDP Act requirements may also apply to personal data in client engagement exports; the applicable responsibilities depend on the client's instructions, the agreement, and the parties' roles.
- Analytics data is processed only with your consent, which you may withdraw at any time.
- Contact form and booking data is processed for the purpose of responding to your enquiry or scheduling a call.
- You have the right to access, correct, or request erasure of your personal data by contacting info@mldeep.io.
- For grievances related to data processing, contact the Data Fiduciary (Anmol Parimoo) at info@mldeep.io.
Your rights
Regardless of where you are located, you may:
- Request a copy of any personal data held about you
- Request correction or deletion of your data
- Withdraw consent for analytics at any time (decline cookies or clear local storage)
- Lodge a complaint with your local data protection authority

Data retention
Contact form submissions are retained only as long as necessary to respond to your enquiry. Analytics data retention is governed by Google's and PostHog's respective policies (typically 14 months for GA4 by default). Booking data is retained by Google Calendar per Google's retention policies.
Client engagement source data follows the engagement-specific deletion and provider-backup approach described in the client business data section and on the security page.
Changes to this policy
If this policy changes materially, the "Last updated" date at the top of this page will be updated. Continued use of the site after a change constitutes acceptance of the updated policy.
